McKeeman Communications On Post-Pandemic, In-Person Events

McKeeman CommunicationsAs we inch toward the coronavirus becoming an endemic disease, we’ve had to learn to live with the uncertainty that goes with a swift-moving illness. Something that PR firms, including Charlotte, NC-based McKeeman Communications, have learned over the last two years is that adapting is crucial. Today, representatives from the company talked with us about what they’ve learned about hosting in-person events and shared tips on how to make this reemergence more people-friendly.

Q: How has event planning changed since before the pandemic?

McKeeman Communications: While many aspects are still the same, much has changed. Key differences between 2022 and 2019 are that event organizers have to take precautions to reduce the possibility of hosting what could become a superspreader event. This is accomplished with a number of different tactics, including limiting attendance,  creating social-distancing opportunities and providing cleansing materials.

Q: How is planning an in-person event different from creating an online seminar or conference?

McKeeman Communications: Online, you’re more focused on the speaker and ensuring the technology is working for everyone. For in-person events, you have to pay attention to how your venue and schedule allow for spontaneous conversations, brainstorming, and socialization.. Most PR firms that are familiar with Charlotte, NC, choose event locations that make coming together a more pleasant experience, especially for those wishing to maintain strict safety precautions.

Q: What type of safety precautions?

McKeeman Communications: We’ve already mentioned social distancing, but there are a few other things that PR firms and event planners can do to ensure their safety as well as that of their attendees. Enact safety protocols, which might include mask wearing for unvaccinated guests or questionnaires regarding visitors’ recent COVID exposure.

Q: Are there any aspects of digital event planning that PR firms can use for in-person gatherings?

McKeeman Communications:

There’s a new type that’s taking the in-person and virtual event world by storm – they’re called hybrid events, and they are defined more by the lack of boundaries than anything else. Hybrid events allow audiences to connect in new ways both in person and virtually, regardless of whether they’re physically present at the event or attending online.

Since the dawn of the pandemic, there have been more than 300 different platforms developed for planning and hosting online events and webinars. These can, and often should, be used to host your event.

Q: What is the best way to handle last-minute changes?

McKeeman Communications: There’s no way to prevent unexpected cancellations by speakers or attendees who contract the virus. However, we recommend having a backup plan in place. Have a guest of honor on standby who can take over and present if your original speaker or presenter is unable to attend.

Events are back, and McKeeman Communications says now is an opportunity to make yours better than ever. Start by prioritizing safety, but don’t forget that in-person events are all about connecting people.
